Intake Specialist

Job Overview:

We are seeking a compassionate and detail-oriented Remote Intake Specialist to serve as the first point of contact for potential clients. In this role, you will gather critical information, evaluate client needs, and ensure smooth onboarding into our services. As a vital member of the team, you will set the tone for exceptional client experiences and work closely with the legal or administrative team to facilitate case initiation. This is a remote position, ideal for someone with strong communication skills, empathy, and the ability to manage a high volume of interactions effectively.

Key Responsibilities:

Client Communication:

  • Serve as the primary contact for new clients, responding to inquiries via phone, email, or online platforms.

  • Conduct initial client interviews to gather essential information and assess their needs.

  • Answer questions about services, policies, and the intake process, ensuring clarity and professionalism.

Data Collection and Documentation:

  • Accurately record client information, including personal details, case summaries, and relevant documentation, into the case management system.

  • Maintain organized and up-to-date digital files for all client interactions.

  • Ensure compliance with confidentiality and data protection regulations.

Screening and Assessment:

  • Evaluate potential cases based on predefined criteria to determine eligibility for services.

  • Escalate urgent or complex cases to the appropriate team members for immediate attention.

Follow-Up and Scheduling:

  • Schedule initial consultations, meetings, or appointments with attorneys or relevant team members.

  • Provide timely follow-ups with clients to confirm appointments or request additional information.

Collaboration and Support:

  • Work closely with attorneys, paralegals, and other staff to facilitate seamless case handoffs.

  • Offer administrative support during peak periods or as needed.

Qualifications and Skills:

Experience:

  • Proven experience in customer service, client relations, or intake roles, ideally in a legal, healthcare, or similar professional setting.

  • Familiarity with case management systems or CRM tools is a plus.

Skills:

  • Excellent verbal and written communication skills, with a focus on empathy and professionalism.

  • Strong organizational skills and attention to detail.

  • Ability to handle sensitive or emotional situations with discretion and compassion.

  • Proficiency with technology, including Microsoft Office Suite, Google Workspace, and virtual communication tools like Zoom or Slack.
